Agency Orientation

Agency Orientation are provided for the benefit of our hunger relief partners. In-person orientation provides partner staff and volunteers a chance to learn and grow together. These sessions help agencies learn about USDA and NCDA regulations as well as Food Bank best practices and guidelines with detailed rules & regulations as they relate to member organizations. Orientation also gives the member organization the opportunity to see the Food Bank and understand the operation and how it will benefit a member agency. The Food Bank staff also looks forward to meeting new members and hearing how their programs will benefit the community they serve. We ask that each partner please call in advance to register your organization and to send up 4 people to include staff and/or volunteers. The Program Director must attend, and the Board President is highly encouraged to also attend. Agency Orientation Agenda

Food Safety

Food safety training should be reviewed yearly. Food safety training should be offered to all volunteers. Safely handling food is Food safety training must be reviewed annually. Food safety training should be offered to all staff and volunteers. Safely handling food is an important step in ensuring we provide nutritious, safe, and healthy food to neighbors.  Once you have finished the training, you must complete the quiz to receive certification for the training.

If your organization operates a meal program, at least one person in the organization overseeing operations should be ServSafe certified.

  • ServSafe Food Protection Manager- You can choose to take both the training and exam online here. Or, you can select the “Find a Class” tab at ServSafe.com under the “ServSafe Manager” tab and select “Food Safety Manager Training and Exam” to find a local class.

Temperature Logs: TEFAP agencies must record temps on every fridge and freezer unit every single day. Please contact your Regional Agency Engagement Manager for information on digital thermometers which make it much easier to meet this requirement! All other agencies must record temps a minimum of at least once per week for each unit, but more often is highly recommended.

Civil Rights

USDA requires all agencies administering TEFAP to complete civil rights training.  The following training outlines key guidelines and procedures to ensure you follow the regulations regarding civil rights when providing service to clients.  Once you have finished the training, you must complete the sign-up sheet verifying you have completed the presentation.

The Written Beneficiary Notice and Referral Requirements for TEFAP and CSFP partners has been reinstated.

  • TEFAP partners can post the document, distribute to individual, and/or add the notice to their TEFAP intake form.
  • CSFP partners must provide individual written notice to each current and future participant.

This must be done no later than January 2025. 

Retail Donation Training

Retail Donation training is a mandatory training for agencies picking up donated product from Food Lion, Walmart, Fresh Market, or Panera. The training covers areas such as items that may be donated, record keeping requirements, good customer service and identification cards for participants.

Each year, volunteers participating in a retail donation program are responsible for attending training to obtain an updated Retail Donation Card. This training is for all volunteers who pick up food and products from retailers such as Wal-Mart, Food Lion and Panera Bread. Please make certain your volunteers check the expiration dates on their retail donation cards to ensure they remain in compliance with Food Bank of the Albemarle’s rules and regulations.

Service Insights on Meal Connect (SIMC) is a free, all-in-one online data collection tool for neighbor intake that will replace current paper or database intake processes.

TEFAP

Neighbor Sign-in Forms: Your agency needs to use both pages for each TEFAP distribution.

Page 1 needs to be completed and signed by the agency representative responsible for logging all participant information as they come through for TEFAP pickup.  The civil rights statement at the bottom of page 1 is regarding pantry staff and volunteers.

Page 2  is used to log the participants receiving the food with the participant information and confirm eligibility.  The authorized proxy is the person who has permission to pick up TEFAP for a participant.

Both page 1 and page 2 must be kept together for each TEFAP distribution and are required to be kept on file for five years.
